Overview
A Pay Group is a group of pay rates assigned to a staff member. Rates are defined by session type or by number of session attendees.
A Pay Group may be assigned to multiple staff members as long as all staff are paid the same rate for all scenarios. The moment a staff member receives a different hourly rate for just one of the session types they will need a different Pay Group.
When assigned it allows Oases to calculate pay based on the session type or a default hourly rate. In other words it can cover simple and complex scenarios.
A staff member can only be allocated one pay group so it needs to contain all information for the people assigned that pay group.
Pay Groups may be assigned then overridden in the student record for a special circumstance when conducting private pay tutoring.

How Oases finds a Pay Rate to calculate payroll
When a session is sent to the Payroll area Oases will first check the student record to see if a specific rate is set for working with that student. If no rate is found it will then look for a Pay Group.

Create a Pay Group
1. In the main menu select: Setup > Staff > Pay Groups.
2. You are now presented with the Pay Groups page, where you can set up the pay data. The drop down menu will allow you to select a pay group. A new database will include a default pay group that pays nothing and a sample pay group for you to explore.
3. To create a pay group click "New Pay Group" at the top right of the page.
4. Name your pay group. Try to use a name that will make sense when it is seen out of context but also allows you to create other pay groups as and when they are needed with the same naming convention. Including the base hourly rate in the title is always helpful.
In the example below I have a name and a base rate. This allows me to create Non Certified 21 if I pay someone else a dollar more per hour.
5. Press Save and your new pay group will be created and be on screen for programming. You must program rates into your new pay group.
6. If the employees assigned this pay group will be paid 20.00 per hour regardless of the session type, program the rate as a default on the front page.
7. On the right hand side add 20.00 into the Pay Amount field.
8. Add the number of students this applies to in the # of Students field.
In this example I have programmed to pay 5.00 if no students show up and 20.00 an hour for any number of students on the session up to and including 10 students.
9. You may also add a different rate depending on the amount of session attendees/students are present. In the example below Oases will calculate 5.00 per hour for no students, 20.00 for one to ten students, 22.00 for eleven to twenty students.
10. If you've set a rate of zero for zero students for no-shows you can opt to pay a minimum payment as a courtesy by using the Minimum Pay field.
11. In the example below I have set a minimum amount of 5.00. So if the calculated rate is less than 5.00 Oases will calculate a set payment of 5.00. As soon as the calculated rate is over 5.00 Oases will pay the normal hourly rate. It's a minimum amount not an additional amount.
12. If rates differ depending on what the employee is doing then use the SESSION TYPE drop down menu to choose the session types that need to be programmed differently.
13. So for this pay group Oases will calculate the rate as 20.00 per the default rate unless the tutor is working on a Lego Masters camp session. Then they will be paid 25.00 an hour for zero to fifty students.
Pay a set fee for a session regardless of session length
14. If you want to pay a set fee regardless of length of session worked use the minimum Pay but you must zero out the hourly rates. In the example below Oases will pay 3.00 straight for Drive Time. No hourly rate and no student calculation just a straight 3.00.
Be sure to add zeros in Pay Amount and Number of Students.
Note: The set rate only works against a specific session type in the pay group and not on the default.
15. Repeat the process by creating other Pay Groups for people paid a different amount. Don't forget to assign your new Pay Group to the staff member.
