Overview
Oases has four basic access levels with matching access level Permission Groups.
You may edit the basic permission group or duplicate it and create a custom permission group, should you want to make access stricter for Probationary Tutors, for example.

The Default Access Levels with their Permission Group
There are four main Permission Groups that serve five Access Levels to Oases. Each Access Level has a corresponding Permission Group that defines what each Access Level can see and do in Oases.

Label Changes
If you have chosen to rename one of the 4 main Access Levels this will also rename the corresponding Permission Group. Renaming of these titles is done in Setup > Config Settings > Labels.
What Each Permission Can Do
To see the default settings for a Permission Group:
1. In the main menu select: Setup > Staff > Permissions.
2. From the drop down menu select the permission group you wish to view. The basic areas will be in panels and panels that open feature a plus sign.
3. Access is as follows:
- Pink - Hidden - No Access
- Yellow - Read Only - No Edit.
- Green - Access - Edit where applicable.

4. You may make a change to the default permission group or duplicate a default or custom permission group and make other changes.
To duplicate:
5. Select the permission group you wish to work with from the drop-down box top left.
6. When selected it will open and show the default permissions for that permission group.
7. Press DUPLICATE at the top of the page.
8. Give the duplicated permission group a name and press save. It will close.
9. Select your new permission group from the drop down menu.
10. Make the changes you wish to make by making things:
- Hidden
- Read only
- Visible
Items with a GREEN PLUS can be opened for more pinpoint control.
NOTE: If a user with Admin Level access is assigned a custom Admin permission group, for security reasons that user will not be able to edit that permission group in set up.
11. Save your changes.
Allocate Permission Group
12. If you created a new permission group rather than editing the default group this will need to be assigned manually on the staff permissions page.
Test Your Permission Group
13. Allocate your new permission group to a fake staff member with the same access level as your permission group.
14. Log out as an admin or open in a new browser.
15. Log in as your fake staff member and test what you can see.
16 If you work on two browsers and are updating the permission group as you test it you will need to log out and back in as the fake staff member after each change is saved.
Outside Contract Access (Regional Director)
17. There are two access labels attached to the Coordinator Permission Group:
- Regional Director
- Coordinator
18. This is designed to allow you to rename Regional Director and allocate it to a member of staff at a Contract or Agency should they require access to the system as part of your agreement.
19. Copy the Coordinator Permission and remove items you don't wish this contract staff member to see such as your Staff Records, Payroll and Invoicing for example. Removing access to Staff Records will not only protect the privacy of your tutors but prevent the outside entity from changing their own permissions.
