Where to Assign Pay Groups
When calculating session pay Oases will look for a pay rate in a specific order. Keeping this order in mind it is possible to use several pay groups for one person depending on where they are working or a staff member may have one pay group assigned to their record.
The Order Used to Find a Pay Rate
Oases will first check:
1. The payroll/invoicing data area in the record for a Student to see if a pay group override has been set. If a pay rate is found here, Oases will stop and use this pay rate.
Oases will then check:
2. The STAFF member.
If no student override pay rate is set for a private student or the tutor worked with an agency student, Oases will next look for a pay group in the staff record on the company tab. If a pay group is found here Oases will stop and use the relevant rate in the assigned pay group.
Oases will then check:
3. The PROGRAM.
If no rate has yet been found Oases will check the Program. Any rate can be checked by going to Locations - Programs. If a pay group is found here Oases will stop and use the relevant rate in the pay group.
4. If Oases does not find a pay group assigned at any level the rate will be used from the Default Pay Group.
Common Errors
5. The most common error is to assign a pay group at the Program level and at the Tutor level, but expect the Program Level to be used.
If assigning different pay groups per Program there must be no pay groups set at the school or tutor level unless you want them to take precedence.
