Activate Tutors & Services
To display tutors for booking, Tutors must be one of the green items in Sections and the Services.
Setup Customer Purchasing
Customer purchasing must be set up in order for a session type to be used when booking a tutor. Those items will be green in services to be used with a tutor but you do NOT have to have Services green in the Sections unless selling hours on their own.
Lead Time Buffers
Set your lead time in Configuration > Miscellaneous. For on-demand tutoring set as 0.

Default Session Location
In Configuration > Miscellaneous, set the Program Location combination for new students.
If left blank the session location and student location permissions will need to be updated in TutorFirst.
Set Your Calendar Time Settings for MarketPlace
In Configuration > Storefront make edits if required for timings of Tutor Bookings:
- Slot duration - 30 minutes to book on the hour and half hour. Or 15 minutes to book on the hour, 15, 30 and 45 minutes past the hour.
- Time interval - 60 minutes if all your sessions are to be for an hour. 30 minutes if you allow bookings of 90 minutes. 15 minutes if you allow bookings of 45 minutes etc.
- Min Time Picker - The minimum time for a session. If a default time is set on Customer Purchasing that is less than the minimum time picker, the lesser default time will be used when that session type is chosen.
- Max Time Picker - The time in minutes for the longest session a customer may book.
Send a Tutor to Display on MarketPlace
1. For a tutor to be listed in the Tutors section of MarketPlace there must be a check mark in Publish Bio on the Certifications tab of the staff record.
2. Also, on this page make sure the tutor's subjects and levels are up to date as these will also feature if you have previously set the particular subject to publish in setup subjects levels.
3. On the Contact Information page add a photo and check the Publish Picture box. If you don't publish the picture a logo will feature instead.
4. Ensure the Availability page is filled out in the tutor's record. On the same page set a buffer in minutes if tutor does not want to tutor back to back.
If the tutor has enabled Push to Google or Outlook then personal appointments in their personal calendar will show as unavailable time in MarketPlace as well as their TutorFirst sessions and TutorFirst Availability.

5. Refresh your MarketPlace page to see your tutor.
Customer Booking
NOTE: If your customer enters the Storefront from their login, only tutors assigned to their students will display as default for ease of selection. They can expand to all tutors if required.
6. When your customers book a tutor they will pick a time from a calendar of availability created from that tutor's availability from their Availability page, existing sessions in TutorFirst and if pushing to Google or Outlook, any personal time they have booked in their calendar.
7. When the time is chosen your customer will pick a session type from those available from your Customer Purchasing list. The duration will default to the desired duration if one has been set in your Customer Purchasing.
8. When confirmed the time with the tutor moves to the cart ready for check out.
9. Customer checks out in the normal way selecting a student (or adding a new one) and the session is created and an email sent to you. Activate the tutor notification email in setup to advise tutors by email that they have a booking.
Records Created & Checks to Make
New Customer & Student
10. If the student and customer are new enrollees TutorFirst will create the student record with a linked customer record and the booked Session. Basic information is added plus any customer information you requested from the optional MarketPlace WebForm.
11. The student will have all Instructional Focus codes checked off and be allocated the default Program & Location if one was chosen in MarketPlace set up.
Existing Customer & New Student
12. TutorFirst will create the student record and link it to the existing customer record and the booked Session.
13. The student will have all Instructional Focus codes checked off and be allocated the default Progam & Location if one was chosen in MarketPlace set up.
Existing Customer & Student
14. TutorFirst will create the new session record with the student's assigned tutoring location placing the time in the student's first checked Instructional Focus.
Checks to Make
When you are notified of a new MarketPlace booking perform the following checks:
15. If required, move the student time to the correct instructional focus in the new session.
16. Check the program & location in the new session.
17. For new students remove check marks from Instructional Focus codes that will not be used on the Student Program tab. For existing students update Instructional Focus codes if necessary.
18. Update student location permissions if required.
19. Update student address if necessary.
Direct Tutors to a Particular Instance of MarketPlace
This item is only required if using more than one instance of MarketPlace and you do not want to display all the tutors in both instances.
20. TutorFirst uses tags to direct tutors to display on one instance, another or all. Absence of a tag will display any tutor with the Publish Bio checked off.
21. Create your tags. Go to Set Up - Other - Tags - Staff Tags - Add New Staff Tag.
22. Add your new tags such as MarketPlaceTexas & MarketPlaceFlorida as required for your operation.
23. Return to Set Up MarketPlace and open your instance of MarketPlace and on the Configuration page open Tutor Filtering and select the relevant tag.
24. Repeat for any other instances of MarketPlace allocating a unique tag.
25. Navigate to the Staff grid and filter to the staff who are to be directed to display in a particular MarketPlace instance, such as filtering by Program or Location.
26. Place a check mark next to the relevant staff members.
27. In the Actions menu select Add Tags and allocate your tag to the staff members.
28. Publish Bio still needs to be selected on the Staff Certifications page to display a tutor.
Populate the Subject Filter
Your Subjects will not automatically populate the Subject drop down menu on MarketPlace as you may have and use Subjects & Levels that you will not wish to show via your MarketPlace Webpage.
29. To list a subject as available to the Markeplace filter go to: Setup > Other > Subjects & Levels and open the subject and check the Publish slider.
30. If you have more than one Marketplace instance you may not wish all published Subjects to appear in the subject filter on all instances. If not these can be removed from: Setup > Marketplace > choose instance of Marketplace > Configuration > Storefront > Subjects.
31. Remove any that you do not wish to display by pressing the x.
32. If you remove all the Subjects then the subject filter will not display in the book tutor section of marketplace.
Custom Report to Track Staff Required Items
33. Create a Custom Report to view all the items required to successfully manage tutors displaying on MarketPlace. See link below.
Show Tutor Star Rating
34. If you have Parent Feedback switched on in Config Settings you can display the tutor star rating under each staff photo in the tutor section of marketplace.
35. Switch on Feedback: Setup > Company > Config Settings > System > Parent Feedback > Yes > Apply Changes.
36. When you have gathered enough feedback that tutors have a rating switch this on in: Setup > Other > Marketplace > Configuration > Storefront > Show Feedback > On.
37. Now under tutors in marketplace storefront the rating will show together with how many ratings.
