
Overview
The vacation calendar is a small calendar found on each staff Availability page in the staff record.
Admins or Coordinators can mark vacation that has been approved by the office or the tutor can use it to request vacation.
However you use it, details of vacation may be brought to a Custom Report.

Vacation Calendar
1. On the staff Availability tab press in a day to mark vacation. This applies to full days only. Should a tutor wish to be unavailable for a specific half day, the tutor can make a blocking appointment in a linked Google calendar or create a blocking session.
2. The day will go green to represent vacation. This staff member will now not be presented as available in Intelligent Match, Schedule Bid or MarketPlace on that day.
3. The total days booked across all months are beneath the calendar.
4. The number of days can be pulled to a custom report but for all dates check the staff Vacation report in the Staff Area of the Report Suite.
Sessions on Vacation Day
5. If the staff member has sessions booked on the day that is added you will receive a warning including the session numbers of any existing sessions.
6. If you create a session on a day with vacation booked you will also receive a warning. You will not be prevented from creating the session and conflict may arise if the warning is ignored.
If you create a schedule that conflicts with vacation the tutor name will turn red in the schedule session list.
Default Settings
7. The default setting is that staff other than Admins cannot edit their own vacation calendar.
8. Allow Staff to edit their own vacation by using the drop down menu under the Vacation Calendar to choose if staff can edit Availability, Vacation, Both or Neither.
9. Change this setting in bulk from the staff grid by checking off staff members and selecting Change Edit Availability from the Actions menu.
10. Make your selection.
