Overview
There are four main access levels to Oases and these levels determine what the staff member can do and the information they can see.
The programs and locations where a staff member can do tasks and see information is determined by Location permissions.
Therefore, what and where a user can see is a combination of Access Level and Location Permission.

The Default Access Levels
TutorPlace - Lowest Access Level
1. No Dashboard.
2. Calendar access for own sessions.
3. Student access for own students.
4. My Account page to manage settings.
5. Tutors can see all information in a student record except documents uploaded with a restricted status.
9. No Set Up & No Support Tickets.
We recommend you create a Fake Tutor with a tutor login so that you may view what a tutor sees and assist with their questions.
Lead Teacher - Second Access Level
The Lead Teacher access is governed by the location permissions and the Lead Teacher becomes a lower level of management for a site or program.
1. No Dashboard
2. Under the Locations Tab the States, District/Program, Notes Docs, contract and Schools/Locations tab are hidden. Only locations that the staff member has permissions for will appear on any list.
3. Under the People Tab the customer/parent grid is available but shows customers for the given program and location permissions only.
4. When the Staff page is selected under People all tutors working with location permissions that match the lead teacher will be available. Inside the staff record the permissions page is hidden. Changing of tutor permissions is done by a coordinator or admin.
5. Under the Financial Tab all invoicing is hidden and payroll is the only option and when selected will show a list of your payroll periods. When selected it will show the staff member a list of sessions they have been paid for in any one period. Payroll must be finalized to show data here.
6. Under the Tools Tab reports are hidden and access to your Document Library remains. Remember you can control if a category in your document library is visible to Lead Teachers.
7. Lead Teachers may see students assigned to them or students assigned to any tutor that has the same program or location permissions as the Lead Teacher. They can see sessions they are assigned to and those of 'their' tutors. Lead Teachers can see all information in a student record except documents uploaded with a restricted status.

We recommend you create a Lead Teacher with a Lead Teacher login so that you may view what they see and assist with their questions.
Coordinator - Third Access Level
This level includes Coordinator and Regional Director. Access is the same and larger areas are given to a Regional Director using Location Permissions.
1. The Dashboard is visible.
2. All sub tabs under Locations are visible. Only locations that the staff member has permissions for will appear on any list.
3. Staff, Students and Parents/Customers are all visible but by Program/Location permissions.
4. When the Staff page is selected under People all tutors and lead teachers working with location permissions that match the Coordinator will be available. Inside the staff record the permissions page is visible and log in and location permissions within their own location permissions may be assigned. Example: A coordinator cannot assign one of their tutors or lead teachers to a program that the coordinator herself does not have permissions for.
5. Under the Financial Tab all invoicing is available and payroll is hidden.
6. Under Tools the reports tab is visible and the reports under the Student Area, Staff Area and Other are available. Custom Reports may be given Coordinator visibility on a report by report basis. Any reports the Coordinator can see may include information for the entire company and not just the locations matching the Coordinator's permissions.
7. Coordinators may see students assigned to them or students assigned to any Tutor and Lead Teacher that has the same program or location permissions as the Coordinator. They can see sessions they are assigned to and those of 'their' Tutors and Lead Teachers and can see all information in a student record and CAN view documents uploaded with a restricted status.
8. Coordinators do not have access to Set Up except to the import area.
9. Coordinators can upload items to the Document Library.
10. No ticket support.
Admin - Top Access Level
Can access all areas and features of Oases and set up including the support ticket system.
Edit the Access Levels
It is possible to edit the access levels and it is also possible to copy one of the default permissions and make it stricter if required.
Test Access Levels
When assigning a default access level or duplicating and editing the levels we recommend assigning that permission to a test staff member and logging in to satisfy yourself with what the staff member can see and do.
