
Overview
The Central Calendar features all sessions for your database which may be viewed a variety of ways.
We recommend scheduling multiple sessions by creating schedules for your tutor/student relationships as best practice for efficiency, but from time to time you may need to create a one-off session and this may be done from the Calendar as well as the Session List.

Create a Single Session in The Calendar
1. From the Calendar press New and choose your Program Location combination.
2. A new session will open.
3. Add the:
- Location being the Program and Service Delivery combination.
- Tutor if you know who it will be
- The Session Type
- The Date and Start Time
- The Duration of the Session
4. Enter a class code if used.
5. Enter a room if not included in the Program Location combination.
6. Press the student icon in the center of the row and add a student to the session. Press the icon again to add additional students to make a group session.
7. Add a subject and level by pressing Add Subject and selecting from your list.
8. Then press in the new field to add the level or multiple levels.
9. Add any data in your custom fields if required.
10. Add data to Advanced Options if required.
11. Press close to save the session.
The Two Times in a Session
Time appears twice in a session.
Once by duration at the top of the session. This is the tutor time and will go to payroll.
The second is on the student row and applies to the student invoicing. The two do not have to be the same should you wish to pay the tutor for some prep time. Student time may also be split between two instructional focus codes. Multiple students on a session can also have different times.
Filter Calendar
12. Use the Filter button to display the filter menus which may be used together.
Views
13. Use the Color By Status menu to choose how you color your calendar.
14. Choose the Week View menu to display by list or lane or other time ranges.
15. Payrolled or Agency Invoiced sessions will have a red border.
16. Press the Show Tutors button to switch to Show Students to view student names.
Edits
17. Drag a session to change day or start time.
18. Click on session and press Edit to open and perform edits.
Calendar Push
19. Filter to your name in the tutor menu to push to your calendar, or to the required tutor name to check push status. Scroll to bottom of Calendar for Google or Outlook push information.

20. Sessions created in the calendar may be retro linked to a schedule to view sessions for a student/tutor relationship in one place.
