View Session Summary
1. To view a session click on the relevant session appointment block and a summary will pop up. Click away to close the popup.
2. From this pop up you can press Edit to open the session or delete.
Busy Days
3. The month view will show a maximum of 6 sessions per day. After this a 'more link' will be provided at the bottom of the day advising you how many more sessions there are to view.
4. Press on the more link and your day will pop out to show all sessions. Press on the X or anywhere else in the calendar to close the pop out.
Filters
5. Press the Filter button to display the filters across the top of the page to drill down for information and sessions for a particular location or instructor. This is especially helpful if the calendar is busy and you want to view certain sessions.
6. Use the Select Types filter to create a combination filter from session status and type. Click as many as you need to create your filter. For example all sessions that are submitted but not reviewed or approved. This works in list view and standard view, don't forget to remove your selection to view all sessions.
7. The calendar in all views may be filtered to one or more tutors. The tutor drop down menu is a multi-select filter so you may select one or more names to show calendars of selected tutors superimposed. Press Deselect after filtering to return to showing all tutors.
It's useful to show the calendar by Tutor color when superimposing tutors for differentiation.
8. Press the Show Tutors button so that it says Show Students to see the same view with the student name/s in the appointments.
Views
9. You may view by month, week, day, lane or list view and navigate forward and back using the arrows.
10. You may choose to see the student name or the tutor name in the basic info by pressing on the Show Tutors/Show Students Button.
Month View
11. By default, the month view shows the tutor name and number of students.
Week View
12. By default, the week view shows the tutor name, number of students and the session type.
Day View
13. By default, the day view shows the tutor name, the student name/s and the session type.
List View
14. The list view will show you a weekly calendar view but in list format complete with status color coding. Click on the session to receive a summary pop up and enter the session.
Lane View
15. The Lane View will show all tutor names down the side and a daily view of their availability and sessions.
16. A Session may be dragged from one tutor to another and the session will update the tutor name and color.
17. Filter to one or several tutors. Display tutor or student names on sessions.
18. As with the main views of the calendar Unavailability created by the push from a tutor's personal Google or Outlook calendar will only show when filtered to one name but unavailability created by adding Availability to the staff record will always show.
Name View
19. Opt to see Student or Tutor Names
Locked
20. If a session is pay-rolled or agency invoiced and may not be changed it will have a red outline and is locked.
Session Colors
21. Press the Filter button and select:
- Color by Status of the session
- Instructor Color
- Number of Students on session
- Custom buttons
- Location of the session
Color by Custom Labels
22. Session custom labels are two addition status buttons that go alongside Submit, Review and Approve that you may name as you choose. They display in the calendar with chevrons and different colors and have a custom column on the Session List. View the tutorial below for more information or submit a support ticket to request custom status label buttons.
Additional Information
23. Press on a session to open the popup then press the blue student name to see additional information that will be useful for tutors on their way to a session. The telephone number will be tap to call when viewed from a cell phone.
Time Zone Compatibility
24. When in the Central Calendar your browser time zone will display top right. The sessions in the calendar have a start time of this time zone.
25. Pressing on a session in the Central Calendar will give the start time and time zone. Programs with a different time zone or for your tutors working in a different time zone, the information will be clearly marked. In the example below the tutor will attend the session at 10am Eastern but the student will be attending at 3pm London UK time.
