
Overview
Intelligent match filters your staff with a Ready Status & Availability to find the best match for a particular student or scenario. This is used to find a name to assign a tutor or a tutor for one session, use Tutor Search in a schedule to find a tutor for a schedule of sessions.
Certain items must be set up for Intelligent Match to return matches.

How to Use Intelligent Match
1. Under the Sessions tab select INTELLIGENT MATCH.
An empty version of Intelligent Match will open and show various filters at the top of the page, an empty map and some additional matching tools on the right.
The purpose of Intelligent Match is to take the unfiltered results and whittle them down until you have 1 or a few results from which to choose the best tutor.
There are a number of ways to filter your list down.
Quick Zip Search
2. To do a quick search on staff in a particular area use the zip code box under Other and enter a zip or post code and press Apply Changes. This will zoom in the map and show flags for tutors in this zip code.
Full Filtered Search
3. To speed up your search make all selections required such as program, location, date, time, session type, student and subjects before pressing Apply Changes.
Program & Location
4. If required remove any prior selections and Select the Program and Location where the session will take place. Press Apply Changes if this is all you need, if not continue to make selections before pressing Apply Changes.
Availability
5. Enter the date for which you need an instructor, the time and duration. Then on the right under Other move the slider to check for Availability. This will filter out staff who are not available for the date and time selected. Press Apply Changes if this is all you need, if not continue to make selections before pressing Apply Changes.
Note: Intelligent Match does not look at Google events (blocked off time coming from tutor's linked calendar). Check Google events visually by selecting the tutor name in the Select Tutor field and Apply changes. Press calendar.
Map Flags
6. If the staff have a geo-located address entered in their record a flag will appear on the map to show their geographical location. Press the flag for the name and phone number. The letter in the flag will be the first letter of their last name.
7. Press More Details in the flag data for a pop out of the Bio and address details.
Specialties & Subjects
8. To narrow your search further check off any Specialist Areas that are required.
9. Select the subject and level for the required student. As you can see from the graphic below you can close your specialist area selections to do this.
10. When finished with selections press Apply Changes for a randomized list of matches. At this point you can check how many staff are in the list for matching all requirements. Scroll down to see the data panels for these matches. Place a check mark in Show Calendar to view availability for your tutors.
In the example below there are 7 tutors who would match this job.
The same tutors will appear in the data panels. Press Apply changes again to shuffle your results.
To reduce the results further continue on.
Grade Preferences
11. To narrow your search even further you can use grade preferences to pick the tutor who prefers teaching the grade of student if this is marked in their records. Press Apply Changes to see results.
12. In this example the results are now reduced to two tutors. With reduced results you can compare the availability for the tutors and the data in their panels such as distance from the location and how many hours they have scheduled in the coming 30 days. You can view any existing sessions in the calendar to ensure they have enough time to drive between different locations for example.
Show Student on Map
If your student is in TutorFirst with a correct geo-located address you can show them on the map too:
13. Enter a session type to filter your students.
14. Press the Select Students box and select a student or multiple students for a group session. The student/s will be added to the map with a green flag.
15. Placing a check in show locations will add the tutoring location to the map if different to the student's home with a blue flag.
Proximity Filter
16. The proximity filter measures the distance between the student and the tutor which is helpful for in home sessions. In the tutor's data panel it measures the distance between the tutor and the session location.
So, for an in home session that will be the same distance in each, but if the session is at the library those distances might be different.
This gives you access to more information regarding being able to suggest a different location to your customer that may be closer to all concerned.
Simply check off Proximity and tutors in the drop down menu will list the distance to the student location.
17. The distance is shown in miles unless your database has been configured for kms.
18. In the tutor panels the distance is to the session location.
Gender Match
19. Find a male, female or Nonbinary tutor based on student or parent preferences simply by checking gender.
Staff Extended Bios
20. Place a check mark into Show Detail to expand the staff panels to show additional information including the Extended Bio, Misc fields and Specialist Areas.
Make one Session
21. When you have found your tutor select their name in the tutor drop down menu, ensure the student is selected and press Make New Session if a session is required, or assign the tutor to the student if they will be taking over the scheduling.
