Missing Invoice Rate
If the sessions are showing with no color in the agency invoice area, even when approved then no invoice rate has been entered for the session type.
Enter or Update Invoice Rate
1. In the main menu select: Locations > Select Program > Press Edit in Section 2 > Invoice Rates.
2. Add rate with no currency symbol.
3. Close the edit page.
4. If you are not using a particular session type for a program then you can leave the rate as zero.
Different Rates for SES for different number of students on Session
5. Some contracts may ask you to bill a different hourly rate per student depending on the number of students on the session. TutorFirst can do this automatically for you with Advanced Options.
6. First turn on Advanced Options for your program. Go to Locations > Program > Select Program > Edit > Scroll down to Service Hours and turn on Advanced Options. Close this section.
7. Follow the instructions in SS02. Contract Service Hours & Per Pupil Allocation for Agency Programs
to add the program hours.
8. On the same page scroll down to the section headed Agency and press Edit.
9. Choose your session type, the number of students and the rate per student hour. Press the plus sign to add a new rate.
In the example below:
- The agency will be billed $50 p/h for one student on the session.
- The agency will be billed $45 p/h for each student if two students on the session (total $90)
- The agency will be billed $40 p/h for each student if three students on the session (total $120)
10. Only SES style session types will appear for an SES program.
11. If necessary create separate SES style session types to enable you to split your hours and rates. For this example the Youth Intervention program is authorizing hours for Math & Literacy and the session types created for this program are shown below.
