Overview
Oases uses Amazon Web Services (AWS) as a default to send mail from Oases but you can opt to use your email server by setting up SMTP.

What is SMTP?
SMTP stands for Simple Mail Transfer Protocol. It's a protocol used for sending and receiving email.
It's like a postal service for emails. Imagine you are sending a letter to a friend. You write the letter, put it in an envelope and give it to the postal service. They then deliver the letter.
SMTP does the same thing, but for emails. When you send an email, your email program uses SMTP to give the email to a special computer called a mail server. The mail server then delivers the email to the recipient's email program.
Step by Step overview of SMTP
- You compose an email: You write and send your email using your email client such as Gmail or Outlook.
- Your email client sends the email to a mail server: Your email client connects to a mail server (such as Gmail's server) using SMTP.
- The mail server forwards the email: The mail server looks at the recipient's email address and forwards the email to the recipient's mail server.
- The recipient's mail server receives the email and stores it in the recipient's mailbox.
- The recipient retrieves the email: The recipient uses their email client to connect to their mail server and retrieve the email.
Key SMTP Concepts
- SMTP port: The default port used for SMTP communication is port 25.
- SMTP authentication: The process of verifying the identity of the sender's email server to prevent spam and unauthorized access.
Advantages to using SMTP
- For high use you will avoid email charges. When using AWS to send emails from Oases, Oases charges $1 per 1000 emails sent over your 500 allocation.
- You are sending the email rather than it being sent by Amazon Web Services.
Connecting SMTP
1. We will update the settings and test the connection to ensure it is working correctly with the information given to us and confirm to you when working.
2. If you would like SMTP for email sending please submit a ticket with the following information.
- email address - an email in your company that will carry the emails.
- password - the password for the above email address.
- Name associated with the account - usually the company name.
- SMTP hostname.
- SMTP encryption (tls or ssl).
- SMTP port.
Your IT department will be able to help you with any of the above information or you could search Google for "smtp settings gmail" or "smtp settings office365" depending on your email provider.
Password Change
3. If you change the password on the email account and it's not updated in Oases email will cease to send from your database.
To update the password in Oases go to: Setup > Company > Config Settings > Email > SMTP Authentication Password > Edit > Apply Changes.
4. Log out and back in and send an email to a test record such as Fake Tutor.
