Locate Email Templates
1. Go to Set Up.
2. Select Template Setup in the Other Section and filter to show Generic Emails (default templates provided by TutorFirst).
3. Select the Bid Email you wish to change, there are 3 default email templates for Schedule Bid as shown below.
- Bid Schedule Offer Email is sent to tutor/s when you are looking for a tutor for a schedule of sessions.
- Bid Schedule Successful Email is sent to the assigned tutor of an entire schedule.
- Bid Schedule Unsuccessful Email is sent to all claimants of a schedule who were not assigned.

4. Add or change your text being sure not to change the merge macros for the responses or the session details macro bringing in the info for the schedule. Add macros as required for your schedule custom fields.
New databases will have a table in the Bid Schedule Offer email and you can add rows to the table to add your custom field data or any data from the macros on offer. If you don't have this table in the Bid Schedule Offer Email submit a support ticket and we will add it for you.
5. Note - The grid lines for tables in email templates will not display in final email.
Using SMS
6. If you don't wish to include the job data in the email or will be using SMS use #MATCHLINKRESPOND# instead of the accept & reject links to reduce sms text size. When pressed it will display the schedule info and links to accept or reject the job offer.
The graphic below shows the info included with MatchLinkRespond. This format cannot be customized, if you wish to customize use the standard accept and reject links.

7. If a tutor accepts an offer via the accept link or the matchlinkrespond link a short form is presented asking them for information on suitability and availability.

9. Always test all emails using a fake tutor and fake customer.
